Bookkeeping for Family Child Care Professionals

We can help you with all of your bookkeeping needs including; organizing your receipts, income statements and monthly expenses.  Packages beginning at $90 per month.

When you participate, we will:

  • Track Daycare income from parents, state/county, grants, food program and spouse’s pay stubs
  • Track Daycare business expenses, Medical expenses and Charitable Contributions
  • Track Postage for Daycare, Medical and Charitable expenses
  • Track Mileage for Daycare, Medical and Charitable purposes
  • Track Hours Worked and Attendance
  • Track Additional Meals Served (not reimbursed by the Food Program)

There is a one-time non-refundable registration fee of $50.00

How it Works:

We have personal bookkeepers on staff to individually handle your account.  You will have access to your personal bookkeeper via phone, fax, mail, email and through your client portal.

While using our bookkeeping program, you will develop excellent record keeping skills.  Your personal bookkeeper will work with you as much as necessary for those habits to develop.

You will receive quarterly reports designed to help you follow your business’ progress.  You are also permitted to request one profit and loss statement at no additional charge per calendar year.

At the end of the year, you will receive a Form W-10 accompanied by a cash flow report showing the parent income received for the year to provide your clients for their tax records.

Remember the tax organizer you have to complete at the end of the year?  When you participate in the monthly bookkeeping program, we complete the majority of your tax organizer because we already have the information in our office.

In the event of an audit, you are protected.  Kelly is an Enrolled Agent, which gives her the privilege of practicing, that is, representing taxpayers, before the Internal Revenue Service.  Enrolled Agents are unrestricted as to which taxpayers they can represent, what types of tax matters they can handle and which IRS offices they can practice before.  Practice before the IRS includes all matters connected with a presentation to the IRS on behalf of the taxpayer.  Examples include preparing and filing documents, communicating with the IRS, and representing a client at meetings.

Imaging Service

You need to keep every single piece of documentation to validate your tax return for at least 3 years (refer to the Record Retention information under the Resources Tab); your tax returns should be kept FOREVER!  That will take up a lot of space in your home or office.  Imagine your boxes each filled with 12 months of documentation; receipts that eventually WILL fade and every years tax returns squeezed down to the size of a compact disc.  You can stack them up and keep them tucked safely in your bank safety deposit box.  Sounds so much simpler than keeping so many boxes of important documents safe & dry.  Remember, if the IRS can not read your receipts, the expense is not deductible.  Maybe our imaging service is just what you need.  No special software is needed.  Everything is saved in PDF format; viewed by Adobe Acrobat Reader – which is FREE downloadable software for everyone.

Payroll Services

Constantly changing federal, state and local laws and tax regulations make payroll management an ongoing challenge for business owners. Our payroll services professionals are well versed on these laws and regulations. We can proactively alert you to material changes that will affect your business and your employees while also keeping payroll running smoothly no matter how large your business and your employee population become.

We offer monthly and quarterly payroll services.

The monthly service is a convenient and low maintenance tool.  For a monthly fee of $70.00 (for up to five employees), you simply email your employee’s hours and hourly wage at the end of each pay period and we will report back to you with the amount of their paycheck.  This amount already includes the taxes removed from their gross pay; direct deposit is available for a nominal fee.  You will receive a pay stub for each employee so you have a written record of the payroll transaction; your employees will have access to their pay stubs and year-end tax documents via the internet.  You would then be advised via your client portal of your monthly payroll deposits which are done electronically through your financial institution.  All of the set up work is completed by us.  Each quarter, Books by Kelly, LLC will complete your filing requirements.  At the end of the tax year, we will issue Forms W2 to your employees.

Monthly Service includes the preparation of the following tax returns and payroll deposit information:

The quarterly service is $125.00 per quarter (for up to five employees) and allows you to calculate your own payroll checks using worksheets that we provide.  The worksheets are delivered to us through your client portal on a monthly basis and we determine your monthly deposits and advise you via your client portal the amount to be withdrawn from your bank account each month.  This option allows you to save money, but the work to determine the correct amount of your employee’s paychecks is your responsibility.  At the end of each quarter, Books by Kelly, LLC will complete your filing requirements.  At the end of the tax year, we will issue Forms W2 to your employees.  Your employees will have access to their pay stubs (after the fact) and year-end tax documents via the internet.

Quarterly Service includes the preparation of the following tax returns and payroll deposit information:

Tax Preparation & Planning

We prefer to take a proactive vs. reactive approach to tax services.  By keeping current on new tax laws and legislation, we are in a position to identify key tax planning opportunities that minimize both your current and future tax liabilities.  We provide our individual and business clients with the taxation expertise and knowledge that they deserve throughout the year.  Tax services offered include, but are not limited to:

We currently prepare over 500 Family Child Care returns per year.  We are able to accurately prepare your returns through the mail, email – using our secure client portal, fax and telephone; which means that no matter where you are located, we can provide services for you.

How it Works:

In December, our clients are provided with a tax organizer to use to help them prepare for the upcoming preparation of their individual and business income tax returns.

The tax organizer will provide space for the client to enter the current year data.  As you receive tax documents, collect them and keep them with the organizer.  The documents would include such items as W2s, 1099s, 1098s, Schedule K1s, brokerage statements, student loan interest, etc.

When you have gathered all your tax information, the tax organizer, along with various tax forms, will be delivered to our office.  You may also set up an appointment to complete your tax returns.  If you choose to come to the office to have your returns completed, you are required to return your completed tax organizer two weeks prior to your appointment to ensure all information is in place for your scheduled appointment time.

Tax returns are completed in the order in which they are received in our office.  Generally, you can expect your tax returns to be completed within 18 to 20 business days; provided all requested documents have been included.  If you require your tax returns to be completed faster than the 18 to 20 business day time-frame, you may contact our office.  Please note that a $300 expediting fee will be charged in ADDITION to regular tax preparation fees and is payable in advance.
